About the Role: 

 

An NYC-based philanthropist and scholar is seeking a Chief of Staff to help oversee all aspects of 

running a family office, various property management projects, a professional academic career, philanthropic pursuits and administrative tasks for their personal life. 

 

Duties include but are not limited to conducting research, preparing reports, handling information requests, and performing administrative functions such as making travel arrangements, running errands, overseeing household employees, paying bills and invoices, filing insurance claims, preparing correspondence, arranging conference calls, taking minutes, setting up meetings and appointments, updating databases and day-to-day general clerical tasks. The Chief of Staff additionally acts as a confidant and thought partner for all of the above.

 

Specific experience in Chief of Staff or personal/executive assistant roles is not required. Instead, we seek a candidate who can demonstrate their ability to handle a multitude of responsibilities in a confidential, flexible, and can-do manner. High emotional intelligence and interpersonal skills are also required as in this role, a candidate will be interfacing with lawyers, accountants, financial advisors, contractors, property managers, interior designers, household staff, insurance companies, friends/acquaintances, family members, etc. 

 

Other key measures of success will include: 

 

  • The ability to maintain absolute confidentiality regarding all discussion, records, files, documents, and information. 

  • The ability to independently prioritize and manage multiple tasks while satisfactorily meeting deadlines and achieving desired outcomes.

  • Strong organizational skills, extraordinary attention to detail, excellent oral and written communication and proofreading skills. At times, independent problem solving, creative thinking, and multitasking will be required.

  • Comfort in acting as point of contact and/or oversight for other employees, contractors, family members, and stakeholders

  • Maintaining a professional, discreet, patient, proactive approach and a sense of humor. The Chief of Staff must be willing to oversee (2) household staff members with both in-person and remote interaction. 

 

Ideally, candidates will also have the following qualities: 

 

  • Facility with Google Suites, especially Google Docs & Google Sheets. 

  • Computer and technology literacy, familiarity with cloud storage services and data/document management systems. 

  • Digital organization experience including for legal, accounting, financial record keeping. 

  • Proficiency in standard admin skills, including scheduling, drafting and responding to emails and phone calls. 

  • Rigorous expense management and basic bookkeeping skills, including organizing receipts, invoices, statements etc… Experience with QuickBooks, including QuickBooks Payroll services, is preferred but not necessary. 

  • Experience making travel arrangements and bookings, either for oneself or an outside party. 

  • Ability to coordinate social and professional events. 

  • Preparedness to oversee errands and miscellaneous operational needs. 

 

Schedule Details: 

 

This position is 9 am to 5 pm, Monday-Friday. If special circumstances arise, overtime will be paid. Some flexibility for correspondence outside working hours may be needed, for example an occasional event or emergency might require contact on a weekend/evening. After onboarding, the objective is a minimal meeting cadence, ideally once a week, and daily communication via Slack. The Chief of Staff must always be available via phone during work hours.

 

This is a hybrid position. 2-3 days per week will consist of in-person interaction, and the rest is to be conducted remotely. In-person work will occur predominantly at a personal residence in Manhattan, with minimal, occasional travel to Tannersville, New York. Ideally, the Chief of Staff will be located in or around New York City. 

 

As the current Chief of Staff is leaving at the end of May to pursue an exciting new opportunity, we are seeking a candidate who would ideally begin on Monday, May 9th with a latest possible start date to occur on Tuesday, May 17th. 

 

Benefits and Compensation: 

 

Annual salary is 55k-60k depending on qualifications and experience.The position has fifteen days paid vacation per year, not including time off for all federal holidays as well as paid sick leave as outlined below.  Vacation dates must be agreed upon well in advance, and provision made for continuity during the vacation period. Paid vacation days accumulate up to twenty days per year and sick days accrue at the rate of one sick day for every six weeks worked. A $500 monthly stipend for healthcare costs will also be provided.
